If you prefer, you can substitute 7.14 or 7.15 instead of the 7.16 scenario. Any of those three scenarios would be fine as they are all focused on messages relaying “bad news.” **Please Note: The book asks you to format your message as an e-mail, but I would like you to learn memo formatting as well in this class, so please format your message as a business memo.*
Here are some additional resources to help you with this assignment:
-Read the content in the chapter on the topic, particularly on communicating negative news effectively, comparing the direct and indirect strategies for negative messages (graphic at the bottom of p. 194), more about using the indirect strategy, opening with a buffer, showing empathy, presenting the reasons, cushioning the bad news, and closing pleasantly.
-Review the writing plan for refusing typical requests and claims on p. 202 or for announcing negative news to employees on p. 209 (yellow boxes).
-If you have never formatted a business memo before, review p. 126 or see the attached file for help on formatting a business memo. (You do not need to include the letterhead in yours unless you want to.)
-Examine some samples, such as the 7.8 refusals of an internal request on p. 208 (top message is ineffective versus the improved bottom message) and the 7.9 messages announcing bad news to employees on p. 210 (again, the top message is poorly written versus the bottom message, which is well-written).
-Contact the Success Center for writing tutoring assistance (as always).
